Perfex CRM HR Module: One System for Clients, Projects, and People
Why small teams fold HR into their CRM: what a Perfex CRM HR module covers, from employee records and shifts to payroll, and when not to use one.
If you run a small business on Perfex CRM, your clients, projects, tasks, and invoices already live in one system. Your people data usually does not. Employee records sit in a spreadsheet, shift schedules in a second tool, payroll in a third, and every month someone reconciles the three by hand. A Perfex CRM HR module closes that gap by moving the employee lifecycle into the same self-hosted platform your team already opens every morning.

That said, most of this article is about the consolidation decision itself - why small teams collapse HR into the CRM, what that covers in practice, and the cases where a separate HR system is still the better call.
The real cost of running three systems
Every additional system in a small company carries three recurring costs that rarely show up in a budget line.
First, duplicate data entry. The moment you hire someone, they need to exist in the CRM as a staff member and in the HR tool as an employee. Two records, two update paths, and sooner or later the job titles, departments, or bank details disagree.
Second, context switching. HR tasks in a small company are nobody’s full-time job. The office manager who approves a day off is the same person invoicing clients ten minutes later. If those tasks live in different systems with different logins and different conventions, each switch costs attention.
Third, reporting across silos. A question like “how many people joined and left this year, by department” is trivial when the data sits in one database and painful when it is spread across a spreadsheet, a time tracker, and a payroll export.
Consolidation is not free either - you trade tool-specific depth for integration - but for a small team without a dedicated HR function, integration usually wins. That is the bet a CRM-resident HR module makes.
What the Perfex CRM HR module covers
Perfex already knows who your staff are. The module builds the HR layer on top of those records instead of maintaining a parallel employee list. Per the documentation, four areas form the core:
Employees. Every staff member gets a structured profile well beyond name and email: HR code, personal details, identification, work status, job position and workplace, bank account, tax code and hourly rate, department assignments, and custom fields. The same profile doubles as a self-service hub where employees view their payslips (with PDF download), enrolled courses, assigned assets, dependents, training records, and onboarding progress, and managers can attach files per person.
Attendance and scheduling. You create shiftwork templates, allocate shifts to staff, and manage day-off arrangements for holidays and breaks. A timekeeping table and timesheets keep attendance and logged hours in one view.
Contracts. Contract types, reusable templates, and status tracking (active, expired, overdue) with dedicated lists for agreements that need attention. Since version 2.6.2, templates wire straight into the new-contract form, and a merge-field engine resolves tokens such as {employee_fullname}, {department}, and {contract_code} against real data when the contract is saved. Every contract has a print-friendly view, and assigned staff can add an in-app e-signature that is stored with its timestamp and IP and rendered on the printable copy.
Payroll. You configure payroll types with the columns you need, edit figures in a spreadsheet-style Handsontable editor, and generate payslips staff can view and download as PDF. Salary forms, allowances, and deductions are supported, and payroll data exports to CSV for your accountant.
Around that core, the module spans more than 30 feature areas: onboarding templates with per-item checklists, training records and learning paths with course enrollment, performance reviews and goals (OKRs and KPIs), engagement surveys and 1:1 meeting notes, an asset register, insurance tracking, an HR document library, an internal HR helpdesk, published company policies, an organizational chart, and reporting - six built-in reports plus a custom report builder that exports HTML or CSV. That breadth accumulated in public: the module has 636 sales on CodeCanyon, and its changelog runs from early wages-and-allowances support all the way to the current merge-field contract engine.
A hire-to-exit walkthrough
Say you hire a support engineer.
Day one: create the staff profile, assign an onboarding template, and check off checklist items one by one as they complete - progress is visible right on the profile. The laptop they receive goes into the asset register and shows up under a My Assets tab on their profile.
The employment contract comes from a template filtered by contract type. The merge fields fill in the name, department, contract code, and dates when it is saved; the engineer signs in-app, and the signature lands on the printable copy. Then they are allocated to a shiftwork template, and their hours start accumulating in the timekeeping table.
Month end: payroll figures are edited in the Handsontable grid, payslips are generated, and each one appears as a downloadable PDF in the engineer’s own profile. No email attachments, no shared drive folder.
A year later, the HRM dashboard does the remembering for you: it flags contracts that are overdue or about to expire, lists birthdays this month, and charts the workforce by age, department, and position, including a seniority chart that compares people hired against those who left by tenure. And if the engineer eventually moves on, dependents tracking, layoff records, and a customizable layoff checklist close the loop.
Every step above happens inside Perfex, next to the projects and invoices the same person worked on. That is the whole argument for consolidation in one paragraph.
Where this approach stops
An honest list, because consolidation is a trade-off, not a universal answer.
- If you do not run Perfex CRM, this is not your tool. The module is not standalone software; it runs inside a CodeIgniter-based Perfex installation on PHP 7.4 or later.
- Payroll here means structured figures, payslip generation, and a CSV export for your accountant. It is not a country-specific tax engine, and statutory filings still happen wherever they happen today.
- Admin privileges are required to access the full range of HR functionality. If your organization needs hard separation between CRM administrators and HR administrators, factor that into your evaluation.
- Once HR becomes a dedicated department with its own specialized compliance tooling, standalone HR platforms earn their keep. This module is aimed at the team that wants one system, not the team that needs an enterprise HR suite.
We would rather you skip the purchase than buy it for a job it does not do.
