Perfex CRM Asset Management: Tracking Client and Company Assets

Track company and client assets inside Perfex CRM: allocations, check-in/check-out, maintenance, and reporting. Practical use cases and honest limits.

If you run client work through Perfex CRM, you already have a system of record for the relationship: contacts, projects, invoices, tickets. But the physical things attached to that relationship - the laptops you configured for a client, the firewall in their office, the projector your own team keeps borrowing - usually live in a spreadsheet that nobody updates. Perfex CRM asset management is the idea of closing that gap: keeping company and client assets in the same system where the relationship already lives, instead of in a parallel tool that holds its own copy of every contact.

Why the CRM is the right home for an asset register

Standalone asset tools tend to fail in small service businesses for a predictable reason: they need their own database of people. Every staff member and every client has to exist twice, and the second copy goes stale. When the register says a laptop is “with Acme Ltd” but Acme’s contact left three months ago, the register stops being trusted - and once a register is not trusted, people stop updating it, which finishes the job.

Perfex already knows your staff, your customers, and their contacts. An asset register inside the CRM can point at those records directly. In the module, you create an asset with a name, code, category, price, warranty, and depreciation profile, then assign it to a staff member, a customer, or a specific contact. Since version 1.3.0, customer and contact assignment sits alongside staff assignment, so one register covers both directions: what the company owns internally and what is deployed at client sites. Each asset also carries manufacturer, model, and serial number fields, images, and a QR code or barcode for physical audits, so the record on screen can be matched to the object on the shelf.

Perfex CRM asset management for client hardware

Say you are an IT agency managing hardware for twenty clients. Each device becomes an asset record assigned to the customer, or to the specific contact who physically holds it. The client portal then does something a spreadsheet never will: customers can see the assets allocated to them directly in the Perfex client area, with visibility controlled per contact. When a client asks which machines of theirs you manage, the answer is self-serve instead of an email thread.

Warranty, insurance expiry, and expected end-of-life are tracked per asset, and smart notifications warn ahead of warranty expiry - a natural trigger for a renewal or replacement conversation instead of a surprise. If a device dies in the field, “report broken” and “report lost” record the event against the asset’s lifecycle history, and liquidation closes it out while keeping the warranty details on file. Custom fields let you extend the asset record with your own data points - license keys, configuration notes, supplier references - and project integration assigns assets directly to the Perfex project that consumed them, so a rollout project and the hardware it delivered stay connected.

The internal equipment register

The other register every office needs is internal: shared laptops, test devices, vehicles, tools, the projector everyone fights over. You allocate an asset to a staff member and revoke it with a single click, with allocations and revocations tracked in real time and automatic notifications firing when an item is assigned or returned. You can add quantity to an existing asset and transfer assets between users as the team changes, so the register survives reorganizations instead of drifting away from reality.

Temporary use is where most spreadsheets quietly die, so the module has a dedicated check-in / check-out workflow. Lend a laptop for a business trip, set an expected return date, and let overdue alerts fire when it is not back on time. Asset condition can be recorded at return, which matters for pooled equipment that passes through many hands. For planning ahead, reservations let staff book assets for future dates through an approval workflow, with a calendar view of availability that prevents double-booking. And when you relocate an office or reshuffle departments, transfers track every move between locations and departments from initiation to completion, with a full audit trail.

Maintenance, depreciation, and the money side

Asset tracking that ignores maintenance is just inventory. The module schedules preventive, corrective, and inspection maintenance with recurring intervals, records costs and vendors against each job, and sends reminders seven days before service is due. Depreciation, warranty periods, insurance expiry, and expected end-of-life are tracked alongside, and asset expenses accumulate against each record, so the true cost of ownership is a number you can look up rather than folklore.

For accounting and audits, reports export to PDF, Excel, or CSV - asset listings, depreciation, maintenance history, check-out logs, the full audit trail, and utilization statistics - and a dashboard with KPIs, charts, and quick actions keeps the headline numbers in front of you. Onboarding an existing inventory does not mean weeks of data entry either: bulk import from CSV creates asset groups, units, and locations automatically.

Automation: webhooks and notifications

For teams that automate, webhooks expose more than 20 events - asset created, allocated, checked out, warranty expiring, maintenance due, overdue check-out, and more - so you can connect Perfex to Zapier, Make, or your own systems without writing code. Route an overdue check-out event into whatever alerting your team already watches, or kick off a follow-up when a warranty-expiring event fires. Smart notifications cover the common cases: warranty expiry, due maintenance, and overdue check-outs. A complete audit log captures every action across the module, which auditors tend to appreciate more than any dashboard.

When this module is the wrong tool

An honest boundary line. First, this is a Perfex CRM module, not a standalone product - if your business does not run on Perfex, it is simply not for you. Second, there is no agent-based discovery: nothing scans your network and registers devices automatically. Every asset enters the system through the UI or the CSV import, and the register stays accurate only if your team actually performs check-outs and returns. If you operate at a scale where thousands of endpoints should be discovered and inventoried automatically, a dedicated ITAM platform is the better fit. Where the module earns its place is the small-to-mid-size service business that already lives in Perfex and wants the asset register next to the client record instead of in yet another tab with yet another login.
